A perfectly configured POS software running on poor hardware is a daily source of frustration. A slow printer, a flaky scanner, or an underpowered terminal causes bottlenecks during peak hours, cashier errors, and customer dissatisfaction. Hardware investment is not glamorous, but it is foundational.
This guide covers every piece of hardware in a complete POS setup, what to buy, and how to configure it in OneScale POS.
The POS Terminal
Minimum Specifications
- Processor: Intel Core i3 (8th generation or later) or AMD equivalent
- RAM: 8GB minimum, 16GB recommended
- Storage: 256GB SSD (spinning hard drives are too slow)
- Display: 15" touchscreen recommended for touch operation
- OS: Windows 10/11 (most compatible), macOS, or Linux
What to Avoid
- Very cheap "POS terminals" with underpowered processors — they slow down under load
- Spinning hard drives — they create noticeable lag during database operations
- Old laptops repurposed as POS terminals — batteries fail, keyboards take up desk space
Receipt Printer
Types
80mm Thermal Printer: The industry standard for retail and restaurant receipts. No ink cartridges — uses heat to print on special paper. Fast (200+ mm/second), reliable, and cheap to operate. Compatible printers include Epson TM-T88VI, Star TSP743II, and Bixolon SRP-350V.
A4 Laser Printer: Used when you need full-page invoices (wholesale, pharmacy, professional services). More expensive to operate but produces professional-looking documents. OneScale supports both.
Connectivity
USB connection is most reliable for single-terminal setups. Network (Ethernet/WiFi) connection allows multiple terminals to share one printer. Configure in OneScale Settings → Hardware → Receipt Printer. Set the paper width (80mm or A4) and whether to auto-print receipts after each sale.
Cash Drawer Integration
Most cash drawers connect to the receipt printer via an RJ11 cable. When OneScale triggers a receipt print for a cash transaction, it simultaneously sends a signal through the printer to open the drawer. No separate cable to the POS terminal required. Set this up in Settings → Hardware → Cash Drawer → "Open via printer".
Barcode Scanner
How They Work with OneScale
USB barcode scanners act as keyboard emulators — they send the barcode data as if it were typed on a keyboard, followed by an Enter key press. OneScale receives this input in any field that accepts barcode data. This means setup is typically plug-and-play — connect the scanner, open the POS product search field, scan a barcode, and the product is added instantly.
Types to Consider
Corded 1D Scanner: Most reliable, most affordable. Good for fixed checkout positions. Reads standard barcodes (Code 128, EAN-13, UPC-A). Recommended for most retail/pharmacy applications.
Corded 2D Scanner: Reads both 1D barcodes and QR codes. Essential for businesses using QR codes for products, loyalty programs, or digital payments.
Wireless Scanner: Provides freedom of movement. Good for warehouses or large stores where staff need to scan items at shelf level. Requires a USB receiver dongle.
Weight Scale
For businesses that sell by weight (grocery, deli, bulk food, pharmacy dispensing), OneScale supports integration with digital weight scales via serial (COM) port. The scale sends the current weight, and OneScale calculates the price automatically based on the product's per-unit (per gram/kg/lb) price. Configure in Settings → Hardware → Weight Scale.
Customer Facing Display
A pole display (or second monitor facing the customer) shows the customer what is being rung up in real time. This transparency reduces disputes and increases customer trust. OneScale supports customer display output. Configure it in Settings → Hardware → Customer Display.
Label Printer
For businesses that need to print product labels (price tags, shelf labels, barcodes for items without printed codes), a label printer connects to OneScale and prints directly from the product catalog. This is particularly useful for grocery stores and pharmacies that receive unlabeled bulk products.
Network Setup for Multi-Terminal Operations
If you run multiple POS terminals (multiple checkout counters), all terminals connect to the same local network and share the OneScale database. All transactions are visible across terminals in real-time. A receipt printer and cash drawer can be networked to serve multiple terminals, or each terminal can have its own.
